Work Package 1: Coordination and Management

The function of this work package is to guarantee the coherence of activities, to fulfil the time plan, and to assure the quality of results.

Objectives

The function of this work package is to ensure the coherence of all activity, while fulfilling the time plan, as well as monitoring the quality of the results. All activities being carried out in this work package will be in duration for the entire 24 month period of the project.

Project Coordination and Management

The project coordinator, Fraunhofer, is responsible for all matters regarding administration, meetings and conferences, as well as all content-related observances. These matters must also be communicated externally to representatives of the European Commission, as well as internally between consortium partners. A steering committee will be established to support, as well as supervise, project management. There will be a strong focus on the coherence of the proposed business model to the activities carried-out within the work packages. The committee consists of all WP leaders, and will plan to meet twice each year. Brief management reports from all WP leaders will be prepared prior to committee meetings for discussion. The steering committee is in cooperation with the GSA and embodies the power necessary to designate restructuring within projects if necessary.

Quality Assurance and Risk-Analysis

Adherence to timelines and cost-planning must be ensured by means of appropriate controlling measures. Internal quality reviews will synthesize feedback from advisory board members, steering committee, and GSA project reviews. This information will then be internalized into the work packages. Internal report frameworks will be established to identify potential risk and customer feedback based on any given position of the prototype. Reports will then be prepared and delivered by GKMF (tool supported by the GSA) throughout the project duration. Document management systems will be established to ensure efficient communication and knowledge share between partners and the GSA.

Coordination of Knowledge Transfer and Commercial Dissemination

All publications and commercial activities will be revised to ensure consistent dissemination. Activities coordinated cooperatively and reported to GSA and partners Webpage will be created to distribute general information regarding SMART-WAY to the public.
